Each document can carry a next review date. The file shows what is overdue, and separately what has no review date at all, so nothing sits unread for years.
Uploading a new version keeps the old one. So you can answer "what did the policy say in March?"
Six plain starting points: the four procedures, a fire drill record and a training record. Each asks questions rather than giving answers, and filling one in does not by itself make a school compliant.
Record each drill: when, how long the building took to clear, and notes. On Holly schools it also shows what each classroom measured before, during and after. Holly does not detect fire alarms, so staff enter every drill.
Alerts, practices, calls for help, write-ups, the procedure and the readiness checklist, all linked from one place. It links to each record where it lives, so there is only ever one version.
A governor or insurer asks a question. Everything is in one place and up to date.
They read the school's procedures on their phone before lunch.
A teacher opens the lockdown procedure straight from the alert screen.
The office logs it in a minute. The record is ready for the fire risk assessment.
Some documents should not be read by everyone, such as a lockdown procedure that names safe rooms or who holds the keys. Your school can mark these as sensitive.
Only people who can raise an alert can then open them, on the website and in the app, and the file itself is protected. Other staff still see that the document exists.
Nothing is sensitive unless you choose, because most staff need to read the fire evacuation procedure.
No. On the phone the Safety File is read-only. Uploading and editing happen on the my.classroomsounds website.
No. The templates are starting points that ask questions. Your school writes, reviews and owns its documents.
No tool can do that on its own. The Safety File helps you keep, review and show your own paperwork and evidence.
